Summer Extensions for contracts ending 17 June 2012

Postgraduate students with a 49 week contract ending on 3 September 2012 do not need to request a summer extension.

Single Students

Single students wishing to extend your stay in University accommodation beyond the end of your current contract, which ends at 10.00 am on 17 June 2012, will need to complete the Summer Extension application form. Applications must be made by the closing date of 7 May 2012.

Due to refurbishment work and other summer maintenance commitments, some sites are unable to allow extensions – please refer to the table below for full details.  If the site you currently reside in is not able to allow extensions, you will be offered accommodation at an alternative site, most likely at Marris House or Richardson Road, although for postgraduate students, there may be a small number of vacancies arise on other postgraduate sites.  Both Marris House and Richardson Road will accommodate undergraduate and postgraduate students during the summer vacation; however you will share the particular flat with other students of the same study level.

If your room and accommodation site is unavailable over the summer, but you require an extension of seven days or less, we would hope that you can remain in your current room; if you require an extension for more than seven days, you will need to move to an alternative room.  The latest possible end date for summer extensions will is 27 August 2012, this being the last night in accommodation with keys being returned by 10.00 am on 28 August 2012.

As availability of accommodation is limited, priority bookings will be given to students whose studies continue into the summer period.  We will request confirmation from your school department.

If you are moving from one University room to another, you will be given a contract for the new room commencing on Monday 25 June 2012.  As your current contract ends on 17 June, you will be able to remain in your existing room during the transitional period until your new room is ready.  During this time you should check with the Site Reception you will be moving to, to confirm when your new room is ready.  Please note, you will need to pay additional accommodation charges for the transitional University accommodation in addition to the rent detailed in your new contract.  You should collect keys from the Site Reception during normal office hours, Monday – Friday and must show your ‘Offer of Accommodation’.  Friends are not permitted to collect keys on your behalf.

Couples

Couples wishing to extend your stay in University accommodation over the summer vacation period only, will need to complete the Summer Extension application form.

If you are continuing your studies into the 2012-13 academic year and wish to remain in your current accommodation you will need to complete a Full Year Extension application form.  You should note that it may not be possible to remain in your existing accommodation and depending on the availability of alternative University accommodation, you may need to find alternative accommodation in the private sector. 

Applications must be made by the closing date of 7 May 2012.

Families

Families wishing to extend their stay in University accommodation over the summer vacation period only will need to complete the Family Accommodation Summer Extension Form.  Please note that families are only able to extend during the summer until 31 July 2012. Applications must be made by the closing date of 1 April 2012.

External Applicants (Students from other Institutions)

We are now accepting bookings from students either studying at Newcastle but not living in University accommodation or students from another Higher Education establishment.  Bookings from non students cannot be accepted.

Important Information: All applicants

Summer extensions will not be offered to any student with outstanding accommodation fees on their account.  Ensure your Term One and Term Two rent payments have been made in full.

**Summer Maintenance

The boilers at Richardson Road will be shut down from 6 August 2012 for the remaining duration of summer extension to carry out essential maintenance work.  There will be no heating or hot water at Richardson Road flats during this period but alternative services will be provided. Rent will not be reduced during this period.
