The Terms and Conditions Handbook provides useful advice on what to do at the end of your contract. You should also refer to the departure checklist to ensure you have done everything you need to do before vacating.
If you accept a place in University accommodation, there is no notice period in your contract. If you leave University accommodation for non-University accommodation, you will remain responsible for the rent until the end of the contract or until the room is re-let to another student (a "successor") who is not already contracted to University accommodation. Under the terms of your contract, responsibility for finding a suitable replacement tenant lies with you. We will make every effort to help you find a replacement tenant and reduce your liability, however, this cannot be guaranteed. If you decide to live somewhere else and your room can't be re-let to another student, you will still be liable for the rent.
To be released from your contract you need to complete a re-let request form, which indicates your wish to end your contract with the University. We will advertise your room on your behalf in the hope that we can find a replacement. We will need to gain access to the room to clean and prepare it for potential viewings by other students who may be interested in taking over the contract.
All personal belongings should be removed when you vacate the room. If you or us are successful in finding a replacement, your contractual responsibility will cease when their contract begins. However, there is no guarantee that a replacement will be found. We can fill your room only after all other vacancies have been filled so the earlier you ask the more likely it is to happen.
If a suitable replacement is found then you will be released from your contract from the day the new contract starts. Your rent account will be adjusted and an administration charge of £50.00 will be applied as per the terms of your contract. Please note your account will be adjusted on the full value of the accommodation, as any discount given will no longer be valid. Any overpayment will be refunded to you and staff will arrange this automatically by sending you a refund request form, or you can download a copy.
Contracts are terminated only in the event of a student ceasing to be a registered student at Newcastle University. However, if you withdraw from the University or fail to register, you will be charged for the full rent on your room for the termly billing period. You will only be released from this if the room is re-let to another student (a "successor"), who is not already committed to University accommodation. Under the terms of your contract, responsibility for finding a suitable replacement tenant lies with you.
