Terms of Contract 2016 Entry

University-owned Accommodation:

Contract Length

Undergraduate contracts are for 38 weeks, which includes the Christmas and Easter vacation periods. This enables you to leave your possessions in your room during holidays. In catered accommodation no meals are provided over weekends or the vacation periods.

Postgraduate contracts are mostly for 50 weeks meaning you will be able to stay in your room until the beginning of September 2016. If you are offered a shorter contract, alternative accommodation will be made available over the summer period.

Part-Year Students - if you are a part-year student and are successful in being offered University accommodation, there is a minimum period of residence. The dates will represent a 'best fit' to match the duration of your stay and you will be charged for the whole period including vacations. You can only be offered one of the following contract periods, availability permitting:

20 September 2016 to 8 January 2017
20 September 2016 to 25 January 2017
20 September 2016 to 23 April 2017
30 January 2017 to 18 June 2017

Arrival

Arrival for UK students will be over Saturday 24 and Sunday 25 September 2016 and you will be advised of the expected arrival date for your allocated room. International and European students will be given contracts commencing on 20 September 2016 to allow you to attend the International Welcome programme. If you arrive earlier and are allowed entry to your room, you will incur additional accommodation fees at the daily rate, but there will be no reduction should you arrive after the start date of your contract. We recommend you refer to the Arrival Instructions for your allocated accommodation as we will provide important information including reception opening times and how to collect keys should you arrive outside of normal hours.

Contract

Once you have accepted the offer you have entered into a legally binding contract in which you undertake to live in the accommodation for the full period and to abide by the standard Terms and Conditions as well as those contained in the Terms and Conditions booklet - you will have the opportunity to review these terms and conditions before formally accepting the offer. We offer flexible payment terms and accommodation charges must be paid on or before the due dates stated in your contract, by one of the payment methods available.

Right to Cancel

The Consumer Contracts Regulations (June 2014) provide that this is not a contract to which the "cooling off" cancellation period applies. Our cancellation terms are set out below.

Cancellation of University-owned Accommodation after Acceptance

Undergraduate students should note that if you accept the offer, but later wish to cancel the Accommodation prior to moving in, you should tell us as early as possible as this gives us a better opportunity to find an alternative tenant for the Accommodation.

  • If we are successful in finding another tenant for your Accommodation before the start of your booking, we will release you from all contractual liability
  • If we do not find another tenant for your Accommodation until after the start of your booking, you will be charged for the number of days that the Accommodation is unoccupied
  • If we fail to find another tenant for your Accommodation, you could be held liable for the full amount of the contract

Postgraduate students who have paid the £500 application fee should note that if you accept the offer, but later wish to cancel the Accommodation prior to moving in, you should tell us as early as possible as this gives us a better opportunity to find an alternative tenant for the Accommodation.

  • If we are successful in finding another tenant for your Accommodation before the start of your booking, you should refer to Reject the Offer regarding any application fee you may be due to be refunded
  • If we do not find another tenant for your Accommodation until after the start of your booking, you will be charged for the number of days that the Accommodation is unoccupied and you should refer to Reject the Offer regarding any application fee you may be due to be refunded
  • If we fail to find another tenant for your Accommodation, you could be held liable for the full amount of the contract

Students who accept a contract in Managed Partnership accommodation will be liable for the full contract and associated accommodation charges unless a replacement tenant is found and may be subject to an administration fee in transferring the contract to another student.

Sports Centre Membership

As a resident of University accommodation you can opt to take out Sports Centre Membership along with your accommodation package. We have excellent sport and leisure facilities you can take advantage of during your time with us. Further details will be provided within your accommodation offer.

Change of Room or Accommodation

The room you have been offered was based on availability of rooms at the time of allocation. If you are unhappy with your room allocation, we are unable to offer any other alternative. You can, however, after acceptance of your allocated room, register on our Facebook page for a room swap. If we or you can identify another student that wishes to swap with you, we will issue new contracts prior to your arrival.

Alternatively, on 1 November you will have the opportunity to request a transfer. You will not be offered a transfer whilst other students are still waiting for their first room allocation. It is more likely that a transfer will take place at the beginning of term two.

Swaps and transfers are subject to certain restrictions and charges.

Leaving Accommodation

Should you decide to leave University accommodation during your contracted period, you will be charged the rent on your room for the remainder of the contract. You will only be released if another student can be found who is not already living in University accommodation, and who wishes to take over your contract. If you withdraw from study at the University you will be charged the rent on your room for the full accommodation termly billing period and will only be released if another student can be found who is not already living in University accommodation and wishes to take over your contract.

Students living in Managed Partnership accommodation will be liable for the full contract unless a replacement tenant is found and may be subject to an administration fee in transferring the contract to another student.. You will not be released from the contract at the end of the termly billing period should you withdraw from your studies.

Managed Partnership Accommodation:

Contract Length

Contracts offered are for an average 42, 43 or 50 week period with the possibility to extend over the summer. You can move in from September 2016. The terms of contract differ to those of the University and upon acceptance of the offer you have entered into a legally binding contract in which you undertake to live in the accommodation for the full period. An advance payment, such as a reservation fee or deposit and first payment of rent is generally expected to be paid upon acceptance of the offer. This will be before you receive your first student loan payment.

You will also need to provide a suitable guarantor, and if you are unable to do this you may be expected to pay the full-year accommodation fees in advance of your arrival. Part-Year Students - due to the longer minimum contract period for Managed Partnership Accommodation, these rooms are not suitable for part-year students. It is possible that there may be some vacancies for Semester Two students, but you should note that the contracts run until mid/late July or September. If you are successful in being offered this accommodation, there is a minimum period of residence and you will be charged for the whole period.
