Your Parchment

"Parchment" is the word which the University uses to mean your certificate. Your parchment is an official document which proves that you have a Newcastle University qualification. Each parchment is unique and contains security features to prevent fraudulent use. If your qualification is a modular one (this includes most undergraduate and postgraduate taught programmes but not the MBBS or the BDS), you will also receive a HEAR (Higher Education Achievement Report) with your parchment. Please note that although the University’s trading name is Newcastle University, the name University of Newcastle upon Tyne is still used on degree parchments.

At Newcastle University (as at most other universities) we do not present you with your degree parchment in your graduation ceremony.

When you will receive your parchment depends on what time of year your final results are awarded.

Students who pass their course during this time will be contacted by email when their parchments are ready, usually 1 to 6 weeks after their results have been awarded.

 

2. Final Results Awarded in: May, June, October, November

For students who complete their programmes in May, June, October or November, parchments will be available to collect from campus during the upcoming Congregations:

To receive the parchment, you have four options:

1) Collection – By You

To collect your parchment from the campus during Congregations you will need to bring photographic ID.

2) Collection – By a Friend

If you would like your friend to collect your parchment, please complete the Parchment Collection Form.

3) Delivery by Courier (DHL)

When you have paid for delivery, please email congregations@ncl.ac.uk giving us your order number (UON number). We particularly recommend using the DHL service if your address is in Africa or Asia.

4)  Standard Delivery – Home Address on S3P

Parchments which are available during the Congregations period but are not collected or sent by DHL, will automatically be posted by Royal Mail standard delivery for UK addresses, and by Royal Mail airmail for overseas addresses after the Congregation period is over. Please note that parchments which are sent by Royal Mail are NOT trackable.

 

If you have passed your course but choose to defer to a future ceremony your parchment will be subject to the same rules as above.

 

3. Appearance of your name on your parchment

Your name will be displayed on your parchment exactly as it appears in the University records. It is therefore important that your University record is accurate (if unsure, please check at your School Office). You cannot change change the format or spelling of your name yourself – you must take some ID (e.g. passport/birth certificate) to your School Office. You should ensure that we have recorded your name with the correct spelling, and that all legal names (including any middle names) are noted. Initials are not acceptable and will be omitted from your parchment unless the initial is part of your legal name.

It is a convention of Newcastle University to print your surname in capitals on your parchment.

 

4. What to do if you have not received your parchment

Parchment processing and delivery can take up to 8 weeks from when you pass your course. If your delivery address is overseas, we strongly suggest that you choose DHL delivery to ensure that your parchment is delivered quickly and safely. If you have not received your parchment after this time, please contact the Congregations Office.

We allow graduates up to one year after they pass their course to inform us if they have not received their parchment. After one year has passed you will be asked to pay a fee so that your parchment can be re-issued.
