Data Protection - How to Access your Personal Data
The Data Protection Act 1998 gives individuals who are the subject of personal data (known in the Act as 'data subjects') a general right of access to personal data that relates directly to them.
Consequently, under the provisions of the Act, you may ask the University to provide you with any information that relates directly to you as an individual.
Should you wish to make a request for data that relates directly to yourself then please write to us or complete a Subject Access Request form and send it to us. Your written request should include your full name and address together with proof of identity (eg photocopy of the passport ID page, driving licence, birth certificate) and a description of the information that you seek.
Please be aware that the University charges a £10 administration fee for this service, and needs to be in receipt of the written request, proof of identity and the £10 fee before any information will be released. Do bear in mind that the £10 fee is an administration fee and is non-refundable.
Subject Access Requests should be addressed to:
The Freedom of Information Officer
Information Systems and Services (ISS)
Claremont Tower
Newcastle University
Newcastle upon Tyne
NE1 7RU
The University is obliged to reply promptly to your request and in any event (provided you have paid the necessary fee) within the prescribed 40 days of it being received. In the event of the University requiring additional information in order to deal with your request then, provided we tell you what is required, we do not have to service it until this additional information has been received.
For medical records a different fees structure can be applied but will not exceed £50, the University reserves its rights in applying these fees. Requests for access to occupational health records should be addressed to Occupational Health.
