Note:  Unfortunately there are many different interpretations of Android mail clients and how they interpret the Microsoft ActiveSync protocol and it differs between firmware versions of the Android OS and the manufacturer of the device. Some of the terminology and menus you see might be slightly different depending on version of firmware and device manufacturer.

These instructions were created using vanilla Android 4.4.4

Select Menu

Select Settings

Navigate to Accounts

Select Add Account

Select Corporate - this may be called Exchange Activesync or similar on other versions of Android

Enter your email address in the long form (with @newcastle.ac.uk)

Example:  A.N.Other@newcastle.ac.uk

Enter your University Password

Select Next

Select Exchange

Select Edit Details

Under Username: Enter your university username, adding @newcastle.ac.uk” to the end. E.g.:

           b1234567@newcastle.ac.uk

Server:  outlook.office365.com

Enable Use Secure Connection (SSL)

Enable Accept All SSL Certificates

If you get a box appearing saying "Remote Security Administration – The server outlook.office365.com requires that you allow it to remotely control some security features on the phone.  Do you wish to continue setting up this account".

Select OK

You may receive a security notifcation that you must activate.

Although we don’t force security settings down to your device, the ActiveSync protocol has the potential to do this.  The server is just warning you that we have the ability to apply a security policy.

Choose how often and what you want to synchronize.  If you select Automatic (Push), then your battery life will be diminished due to your devices frequent use of the 3G network.


As an alternative example, Samsung Android 4.4.3:

Select Settings

Select Activesync

Select Add Account

Select Microsoft Exchange ActiveSync

Enter your email address in the long form (with @newcastle.ac.uk)

Example:  A.N.Other@newcastle.ac.uk

Enter your password

Select Manual Setup

Change Domain\User name to:  

Your university username, adding @newcastle.ac.uk” to the end. E.g.:

           b1234567@newcastle.ac.uk

  (Note:  This is not your email address)  If your device has a separate Domain box leave it blank.

Server:  outlook.office365.com
