Creating a list

How do I set up a list?

  1. Log in to the lists website
  2. Click on 'Create List' in the top menu
  3. You can either copy an existing list, or create a new one using the form, remembering to choose the list name carefully (try using abbreviations to keep it short).
  4. Choose your list type
  5. Submit your request‎

NOTE: Please allow at least a working day for a new list to be made active.

Before a list can be activated it has to be validated and registered on the University's mail systems. You will receive email confirmation once your list is active; this is usually within one working day.

Copying an existing list

(This is very useful when creating a number of identical sub-lists). 

  1. Select the list you wish to copy using the pull-down list; 
  2. Type your new list name into the space provided - the new name should not contain spaces - use hyphens to separate any words
  3. Click on the copy list configuration button. Your new list will be created using the existing one as a template - no members or archives will be copied.
  4. After the list is created, you should check the new list, and modify any configuration (such as the lists description) as necessary.

Selecting a list type

Four basic list types are available; the IT Service Desk can offer assistance with list selection and setup if required.

A Private (or Closed) List

  • Only subscribers can post to this list - please note that email addresses and message contents will be visible to the list members.
  • Subscribers' emails are visible only to other group members.
  • New subscribers require approval by the listowner(s) before they can join the list.

A Moderated List

  • Only subscribers can post to this list - please note that email addresses and message contents will be visible to the list members.
  • Messages are approved by a moderator (or the listowner) before they are sent to the list.
  • Subscribers' emails are visible only to other group members.
  • Anyone can subscribe to the list without approval by listowner(s).

Remember to set a list moderator after list is created - if no moderator is set, then messages for moderation will be sent to the listowner.

A Public Discussion List

  • Only subscribers can post to this list - please note that email addresses and message contents will be visible to the list members.
  • Subscribers' emails are visible only to other group members.
  • Anyone can subscribe to the list without approval by listowner(s).

An Announcement List

  • Only listowners and moderators may post to the list.
  • Subscribers' emails are hidden.
  • New subscribers require approval by the listowner(s) before they can join the list.
