Account Expiry (Students)

How long can I use University facilities after I graduate? 

Undergraduate students can use their University login and e-mail up until 31st August after graduation. You should have alternative arrangements in place by then. If you have already applied to do a postgraduate course, you should not be affected.

Postgraduate students (Master degrees) usually terminate in September, and ISS resources remain active until December 31st, to allow for time needed to re-submit, etc. Resources are then usually withdrawn during January.

In detail:

  • When a student graduates, the records remain in the system until 31 August of the year of graduation. Please note that there is no compulsion upon the University to extend student records beyond the end of the last (graduating) term.
  • Until the student record actually expires, the login name for computer services, and the email address, remain active. The University is happy to permit usage of these beyond graduation, in order to help graduates make new arrangements.
  • After 31st August, and until registration has taken place for the new academic year, student records remain active, but are now "unstable".
  • When registration for the new academic year is complete, the Registrar's Office notifies services such as ISS of all student records which have now expired. At this point, login names and email addresses will expire.
  • Typically we will email undergraduates toward the end of October and Postgraduates at the beginning of January to give a short period of notice that account expiry is due.

Please note

Unfortunately, graduates are no longer members of the University. This has a significant bearing upon their entitlement to use University buildings and equipment (Health & Safety, insurance, etc.). Newly graduated students are regarded as authorised "visitors" to the University, until expiry of their records.

When expiry is due to take place, we will give you advance notice via email, detailing the following:

  • The date and time your account will expire.
  • That your account will be inaccessible beyond this date.
  • That we are unable to extend your account beyond this date.
  • That we are not able to add a forwarding email address to your account.
  • That we are not able to accept payment for you to retain access to your student email address.

Before the detailed expiry date you should ensure that you:

  • Arrange an alternative address - many internet services offer free email accounts.
  • Ensure you communicate your alternative address to your contacts. Remember to include any online accounts (banking, paypal etc...) where you have used your Newcastle email address for identification.
  • Save off any emails/attachments from your email account and any files from your filestore (Home folder) that you wish to retain.

Alumni email forwarding service 

Once you have arranged an alternative address you may wish to take advantage of our Alumni email forwarding service, which offers a unique alumni e-mail address (name@alumni[xxxx].newcastle.ac.uk where [xxxx] is year of graduation), for you to keep and distribute to your contacts. This service is free to use, and all details can be accessed via NUGrad.

I am a student taking up a staff post after graduation

If you are a student taking up a staff post, please contact IT Service Desk who will be able to arrange a new staff login; you need to move your files and email from the previous student login (ISS cannot do this for you). Your email address might change in line with the Staff Email Policy and your email client may change (e.g. from OWA to full Outlook Exchange).
