Mailbox Quotas

As the amount of storage is finite on the Exchange server we have had to impose mailbox quotas, in order to keep the Mailbox databases to a manageable size.

Staff and Postgraduate Research Students :

  • 1GB - Limit Exceeded
  • 1.1GB - Sending Mail Prohibited
  • 1.5GB - Sending and Receiving Mail Prohibited

Once your mailbox size exceeds the 1GB limit, you will receive a warning message every night asking you to reduce the size of your mailbox. We strongly suggest you adhere to these messages as the subsequent restrictions are far more stringent.

Once your mailbox size exceeds the 1.1GB limit, you will be prevented from sending any mail at all.

Finally once your mailbox size exceeds the 1.5GB limit, you will be prevented from sending and receiving any mail at all. Everyone who sends you a message after you have exceeded this limit will receive a Non Delivery Report detailing that their message has not been received, because of excessive mailbox size. You will not receive their message.

How do I determine how large my mailbox is?

Outlook 2007:

  • In the Folder List, Right Click the top-level of your mailbox.  This is typically indicated by your name.
  • Left Click Properties / Data File Properties
  • Select Folder Size Button
  • Total Size indicates your mailbox size
  • You can also see how the mailbox size is divided by your folders

Outlook 2010:

  • Click the File button
  • Your mailbox size will appear in the Mailbox Cleanup section

Outlook Web App:

Hover your cursor over the top level of your mailbox in the folder list.  This is typically indicated by your name.  After a second quota information will appear.
