Borrow

You can use the self-issue machines or staff can issue items for you at the service desk in any library (you must always produce your Smartcard).

Books must be returned by the date/time stamped on the date label or on the receipt if you have issued the book yourself. Overdue items are liable for an overdue charge. You are responsible for all items issued to your Smartcard.

If an item you want is out on loan you can request it using the holds service. The library may ask you to return books earlier than their due date if they are required by another reader.

University staff

May have out on loan at any one time:

  • 59 long loan items
  • 3 one week loans
  • 3 next day journals
  • 3 student texts collection items
  • 3 next day loans (books)

The return dates for long loans to University staff in 2013 are:

  • 19 June 2013
  • 9 October 2013
  • 11 December 2013

Postgraduates

May have out on loan at any one time:

  • 35 long loan items
  • 3 one week loans
  • 3 next day journals
  • 3 student texts collection items
  • 3 next day loans (books)

Undergraduates

May have out on loan at any one time:

  • 20 long loan items
  • 3 one week loans
  • 3 next day journals
  • 3 student texts collection items
  • 3 next day loans (books)

External borrowers: fee paying and others

May have out on loan at any one time:

  • 15 long loan items

External borrowers include:

  • Newcastle University graduates (fee-paying)
  • corporate external borrowers (fee-paying)
  • staff of partner organisations, galleries and museums (North East)

NHS staff in the northern region

May have out on loan at any one time:

  • 20 long loan items

Access Scheme borrowers

May have out on loan at any one time:

  • 8 long loan items

Access Scheme borrowers include:

  • members of the public (fee-paying)
  • SCONUL access borrowers
  • professional and learned institution members
  • staff of charities (fee-paying)
  • PARTNERS students
  • PARTNERS teachers
  • Northumbria University retired staff

Issue your own books

Self-issue machines are available throughout all libraries allowing you to issue your own items and renew non-overdue items using your Smartcard.

You must have a current Smartcard and your books/items must have a barcode label on the bottom left hand corner of the cover. If you have any problems please go to the service desk.

You will not be able to use the service:

  • to borrow items without barcodes on the front cover
  • to borrow some non-book material, e.g. videos
  • if your Smartcard has expired
  • if you have a block on your library card, e.g. you owe an overdue charge
  • to renew overdue books
  • to renew books that are required by another reader
  • to transfer book loans from someone else's library card on to your card

Email reminder notices

Newcastle University staff and students

Email Reminders are sent from the library about recalled items, hold requests awaiting collection, and overdue items. These are sent to your university e-mail address unless you specifically inform us that you wish to receive notices by post.

If you do not wish to receive email notices please contact us via Library Help.

Other members of the library

Notices from the library about recalled items, hold requests awaiting collection and overdue items will be sent to you by e-mail if you provide an email address when you register.

If you do not have an email address, notices will be sent to you by post.

Queries relating to books on loan

If there is an item listed in your loan record which you feel sure you have returned we will do the following.

  • Check the library shelves to see if the item is there.
  • If the item is found on the shelf we will discharge it from your Smartcard.
  • If after an initial check the book is not found on the shelf, and it is still recorded as being on loan to your Smartcard we will inform you either by e-mail or by letter and we will ask you to check again at home in case it has been overlooked.
  • We will then continue to search weekly in the library and on our loan records until the book is due to be invoiced. You will still be able to use your smartcard until then.
  • When the invoice is produced, if the book has not been found, your library Smartcard will automatically become blocked and the invoice will be sent to you. You may either pay the replacement charge or supply a replacement copy of the book. The library does not automatically accept liability for such items.

Please note: if another reader finds the item on the shelf and has it issued to them, the item is automatically discharged from your record and issued to their Smartcard.

If at any time during the checking process you do find the item, please return it to the library and inform staff as soon as possible. Overdue charges will still be applied to items which are returned after the due date.
