Is it OK to go through 40 articles until I find 5 suitable ones? That won't mean I'm going through too many? Is it OK not to refine it further?

I am having difficulty accessing an e-journal. I am off-campus.
Do you have to have the same search grid for Medline and Embase if you search both of them? The same grid gave me 15 articles on Medline and 97 on Embase but by changing it slightly I got a sensible number back on Embase, is this ok?! (I just left out searching two words as key words)
When we need to provide a printout of our Medline and Embase searches and abstracts, do we have to print them directly off the databases or can we do printscreen and put them into a Word document so that we can have both our Medline and Embase searches on the same page along with the explanation of our search strategy beneath?
Do the search grid, strategy and list references count towards the word limit?

I carried out a search using focussed subject headings and what I thought were appropriate subheadings but I only found 12 articles which weren't very relevant, when I used the same subject headings without the focus function or the subheadings it found 64 articles, many of which were useful. Which search strategy should I hand in?
I found about 11 results on each database, is that low enough or do I need to narrow the search down further?
I cannot get EndNote via the RAS to work with a word document on my laptop at home, why might this be?
