Student Personal & Medical Circumstances

Tutors will normally be aware of medical, personal or other circumstances affecting the student. Where this has an impact on study, it is important that the student is advised appropriately about options. Options generally take the form of a PEC application for adjustment to be made at a School level. In exceptional cases, referral on to Dean or a central service may also be required.

1a. Extensions for hand in of work.

The University has an approved Submission of Assessed Work Policy. As part of this, each school must now have a procedure in place for handling extension requests. Students with good reason for requesting extensions are generally advised to apply by completing a PEC form before an assignment is due.

It is important that within the School, good records are maintained of extension requests and approvals. This is to try and avoid ‘double counting’ for some individual students.

Tutors should make themselves aware of the School procedure for granting and recording extensions. The normal period for extensions is up to 2 weeks.

1b. Extensions and Penalties for late hand in of work.

Tutors should be aware of the normal University policy – and any School or assessment specific variations - with regard to extensions and the late (or non) submission of assessed work. Tutors should be prepared to advise students accordingly if they fail to submit work, or submit work late, without good cause or an approved extension.

University regulations state that failure to attend an examination results in a mark of zero. The University policy also states that other assessed work handed in up to 7 days late, without an approved extension, will receive the maximum pass mark (40 for undergraduate students or 50 for postgraduate students). After 7 days, a mark of zero is applied for all late work unless an extension has been approved.

2. Applications to the Personal Extenuating Circumstances (PEC) Committee.

All students should advise the Board of Examiners of any Personal Extenuating Circumstances affecting their performance. Normally, this means that the student completes a PEC form for consideration by the PEC Committee. The PEC application may result in an immediate adjustment (for example, an exemption or a deferral) or may be held for the PEC committee to consider a rating for the recommended use of discretion.
