All returning students must register online at the beginning of each academic year via the Student Self Service Portal (S3P). Providing you have access to your University e-mail account and an internet connection you will be able to register off campus from anywhere in the world.
If you are taking a placement or study abroad year as an official part of your programme you must follow the instructions below to register for the coming year. You do not need to scan your smartcard as providing your Local Education Authority is aware that you are on placement and have informed the Student Loan Company your student loan will still be paid.
Go to the S3P login screen - https://s3p.ncl.ac.uk/login/index.aspx and enter your user ID and password. You should already have an S3P user ID and password as you will have used this system to either register last year, choose your modules at Easter or update your personal details. Please note that although your S3P user ID is the same as your main University user ID the password is different. If you have forgotten your S3P password please use the Having trouble logging in? link from the login screen to have it reset. The first time you login to the S3P system each year you will be asked to accept the University’s terms and conditions. Please note that you will be unable to register if these terms and conditions are not accepted. There are links on this particular screen to allow you to view the relevant documents if you wish.
The main screen on S3P is the Registration Status screen. This lists a number of status items that apply to your record with either a red cross or green tick alongside each. You can only register on your programme of study when all items have a green tick (except Confirmed Attendance status – see below). Click on the link on each status item to take you to the relevant screen where you can check and confirm your details.
On the Student Data 1 and Student Data 2 screens you need to amend any incorrect data and fill in any blanks before pressing the save button at the bottom of these screens to confirm. Please note that all data is stored and used in accordance with the Data Protection Act. Some fields on these screens are compulsory and therefore an error message will be returned if you save without completing them. We have to make some fields compulsory as they are key statistical data items which we are legally required to gather by the Higher Education Statistical Agency (HESA) and the Higher Education Funding Council for England (HEFCE). It is also important that you provide us with your current home, term and next of kin addresses. A next of kin address and contact is particularly important as this is the person we will contact in the event of an emergency.
Please note that there are three fields on the Student Data 1 screen (Fist Name, Last Name, Date of Birth) which if you change will send a message to your school or graduate school for further action. This is because changes to these fields may need additional clarification ie you may be asked to supply documents to prove the change. Your school or graduate school will contact you to advise.
This screen will display the programme and stage that our records indicate you should be registering on this year. If this is correct click the save button. If this is not correct click on the Enquire link which will allow you to type a message up to 200 characters long which will be sent to your school or graduate school. They will respond via e-mail with an answer to your query in due course.
This will only be visible on your status screen if you need to pay fees before registering, for many students this will not appear. Click on this link to see the fees that are due. Please note that it is important that you confirm your programme details are correct first as described above before going to Financial Details as this will ensure the correct fees for your programme are shown. You can either pay online using the Pay Now button or visit the Finance Office in person. If you have a query about your fees please use the Contact Us link which will allow you to send a message to the Finance Office.
Once all items on the Registration Status screen have a green tick alongside them you can press the register button which will register you on your programme of study.
As well as registering online some students are also required to confirm their attendance when they return to the University campus. If this applies to you there will be a Confirmed Attendance status listed at the bottom of the Registration Status screen with a red cross alongside it. Please note that this status will not prevent you from registering therefore you should press the register button and then confirm your attendance. Attendance can be confirmed by scanning your smart card at one of the stations on campus. If you are expecting a student loan you must confirm your attendance before the loan can be released to you.

If you were required to undertake any reassessments for the previous academic year please note that you will not be able to register online until your record has been updated to indicate that you are now allowed to proceed. Due to the timing of Exam Boards you may not be able to register immediately when you receive the instructions via e-mail. We anticipate that the majority of results will have been entered on the system by 14 September therefore we would ask that you do not send a query to your school until after this date if you are unable to register.
Once you have completed the online registration process you will still need to confirm your module choices for the coming year and complete any induction activities as required by your school. The particular arrangements for your degree programme will be provided by your school.
Please return to the S3P system at any time during the year to update your personal details, this is particularly important if you change address. The S3P system can also be used to produce documents such as a Certificate of Attendance (click on the Documents link on the Registration Status screen). It is our intention to expand the list documents that can be produced in the future.
The smart card you were issued when you first registered on your programme should remain valid until the end of your studies. As long as you register for the new academic year you do not need to do anything to renew your card, however, if your card has expired you can get a new one by visiting the Robinson or Walton Library.
