ID Checking and Smart Cards

Smart Cards

All students are issued with a University Smart Card. You will need this to access the University Library, Sports Centre and other University facilities.

You must collect your card as soon as possible after you arrive in Newcastle as you are only provisionally registered until you do so. If you do not need a smart card, for example, because you are a distance learning student please contact student-registration@ncl.ac.uk so that arrangements can be made to complete your registration without you needing to collect a card.

Your smart card will contain a digital photograph and brief details including your name and card expiry date. Once you have obtained your card, you will keep it for the duration of your studies. There will be no charge for your initial card, but should you lose it, there will be a charge for a replacement. Please note that there is no need to provide a photograph, as you will be photographed at the issuing point.

Please note that if you lose or mislay your smart card you should notify the Robinson or Walton Library immediately.

ID Checking

Before we can issue a smart card you must present proof of your identity. Please bring with you the following documents –

  • Your registration status print-out from the S3P system (the document that contains a barcode that you are prompted to print when you complete your online registration via S3P. If you need to reprint this document you can do so at any time via the documents tab on S3P)

  • Photographic proof of identity, preferably a passport.

If you do not have any photographic proof of identity please contact student-registration@ncl.ac.uk.

International students should note that due to UK Border Agency visa regulations as part of the ID checking process we will take a scanned copy of your passport and visa which will be saved on your electronic student record.

You cannot be issued with a smart card unless you have the above items with you.

Smart Card issuing locations

Students arriving in the main registration period 17 to 27 September 2012 can collect their card from the King’s Road Centre (4 on University campus map) at the following times –

New International Students only

Monday 17 September 10:00-17:00

Tuesday 18 September 09:00-17:00

Wednesday 19 September 09:00–17:00

Thursday 20 September 09:00–17:00

Friday 21 September 09:00–17:00

All New Students

Saturday 22 September 10:00–18:00

Sunday 23 September 10:00–18:00

Monday 24 September 09:00–17:00

Tuesday 25 September 09:00–17:00

Wednesday 26 September 09:00–17:00

Thursday 27 September 09:00–17:00

Staff in the King’s Road Centre will check your ID at the issuing point so please make sure you have your documents ready for inspection.

Outside of the main registration period 17 to 27 September 2012 new students can get their cards as follows -

UK and EU Undergraduate and Postgraduate students from all faculties

Go to the Robinson Library or the Walton Library (35 and 60 on your University campus map). Staff at these locations will check your ID and issue your card.

International Students

Before being issued with a smart card International students must have their ID checked and a copy of their passport and visa taken at one of the locations listed below. Your registration document will be stamped to show that your ID has been checked and you can then go to get your smart card from the Robinson Library or the Walton Library (35 and 60 on your University campus map). The libraries will only issue International students with a card if their ID has been checked at the following location -
