What to do at the end of your contract
When the time comes for your contact to end, we hope that you will have enjoyed your time living with us.
There are certain things you need to do when leaving our accommodation and these are all explained in the Terms and Conditions booklet. you can also download our Departure Checklist (PDF: 60KB) to make sure you've done everything.

When you accept a place in University accommodation, there is no notice period in your contract. This means that if you decide to live somewhere else, you will still have to pay the rent until the end of the contract or until the room is re-let.
Under the terms of your contract, you are responsible for finding a suitable replacement tenant. This must be another student who is not already contracted to University accommodation.
If a replacement is found, your contract responsibilities end when their contract begins. If your room can't be re-let to another student, you will still be liable for the rent for the full contract.
What we'll do
We’ll make your room available to any new applicants in the hope that we can help you find a suitable replacement. We will try to reduce your liability but cannot guarantee that a re-let will be arranged. The responsibility for finding a tenant remains with you.
What you need to do
You need to complete a re-let request form, which indicates your wish to end your contract with the University.
We can fill your room only after all other vacancies have been filled so the earlier you ask the more likely it is to happen.
If you're still in residence, you will need to allow viewings of the room to suitable students If you have already vacated, we will need access to the room to clean and prepare it for potential viewings.
You must remove all your personal belongings when you leave.
Fees
You are responsible for paying your rent until the end of your contracted period.
If a replacement is found, you will be released from your tenancy from the day the new contract starts. Your rent account will be adjusted and you will be charged £50 administration fee for the tenancy takeover. Your account will be adjusted on the full value of the accommodation, as any discount given will no longer be valid.
Any overpayment will be refunded to you. We will arrange this automatically by sending you a refund request form. You can also download the Refund Request Form (PDF: 143 KB).
Withdrawing from university
Withdrawing from universityYour contract responsibilities
It is your responsibility to inform us if you want to withdraw. It is in your best interests to keep us informed of your situation. Your school and Student Progress Service won't automatically notify us, so you have to let us know.
What we'll do
We terminate contracts only if you cease to be a registered student at Newcastle University.
If you withdraw from the University or fail to register, you will be charged for the full rent on your room for the termly billing period.
The termly billing periods are:
- 1 September 2019 - 5 January 2020
- 5 January 2020 – 26 April 2020
- 26 April 2020 – 28 June 2020*
- 28 June 2020 – 1 September 2020
(*Castle Leazes contract runs to 14 June 2020)
Students living in partnership schemes (Liberty Plaza, Newgate Court, The View and Turner Court) will be liable for the full academic year unless a replacement tenant is found. You will not be released from your contract at the end of the termly billing period even if you suspend, withdraw or defer from your studies.

Moving out
Moving outWhat's going to happen at the end of my contract?
All good things come to an end, and soon it will be time for you to depart your accommodation. We will send you an email with some useful information about what's going to happen, but please do chat to your local reception if you have any questions.
There will be a couple of things we will need you to do before you do so, and to make things a little easier for you, we have put together a Departure Checklist (PDF: 244KB) which will help you make sure everything is covered.
Donating unwanted items
Donating unwanted itemsIf you’re going home for the summer and have a lot of unnecessary things, why not consider donating?
When preparing to move out of your accommodation, you might find items you no longer need which could have a second life.
Every year, we team up with the British Heart Foundation to collect these items and pass them on to those in need. We also work with local food banks to collect unopened, long-life food items (excluding fresh and frozen items and anything that is out of date).
The Students’ Union also runs the Leave Newcastle Happy campaign which aims to reduce the amount of things that go to landfill every summer.
What can I donate?
There's lots of things you can donate, as long as it's not one of the following:
- Broken or dirty items
- Duvets
- Pillows
- Knives
- Hangers
- Bikes
- Helmets
Note that the British Heart Foundation cannot take food donations, so leave those with us instead in a plain bag.
How can I donate?
It couldn’t be easier; simply follow these steps:
Non-food items:
- Grab a British Heart Foundation bag (we will place one in your room, and you can also get them from reception)
- Fill it with things you no longer need
- Leave it in your room – we will pick it up once you have moved out!
Food items:
- Grab a bag (any as long as it's not the British Heart Foundation bag!) and fill it with your unwanted items
- Take it to your local reception
- We’ll donate it to the local food bank on your behalf
