Configuring your Office365 mailbox with Outlook 2013

Important Note:  You can download Microsoft Office for free as part of the Microsoft Staff/Student Advantage for personal use.  It will remain active as long as you are a student or member of staff.  Please see the Software Deals page for information on downloading, installing and activating Office 2013.  You need not do this on Campus Managed Desktop computers.

When you first start Outlook, you will be presented with an account setup wizard.  If you have already configured Outlook for other purposes, you can use the Control Panel – User Accounts - Mail

Ensure that you enter the @newcastle.ac.uk version of your email address.  This is your primary email address (@ncl.ac.uk is the short form and an alias).  Enter your password and select Next.

When prompted, tick the “Don’t ask me about this website again” and click Allow.  This allows Outlook to try and configure itself with the correct server information.


The most important step is when prompted for authentication.  Microsoft Office365 requires authentication using your University userID followed by @newcastle.ac.uk. It is confusing that this looks like an email address.

Example:  b1234567@newcastle.ac.uk

Please do not try to authenticate against your email address.

Remember to select “Remember my credentials”, before selecting OK


Outlook should now connect to the server and start caching your mailbox.


Note:  Outlook be default will be configured for Cached Exchange Mode.  A copy of your mailbox will be downloaded off the server to the PC.  Cached Exchange mode is not suitable for those that hot-desk or use many different PCs.
