Newcastle Centre for the Literary Arts ("us", "we", or "our") operates and administrates the Newcastle Poetry Competition (the “Competition”) and its associated website (the "Site"); Newcastle University is the data controller in respect of the below. This page informs you of our policies regarding the collection, use and disclosure of personal data we receive from entrants to the Competition.

We use your personal data only for providing entry to the Competition.

Information Collection And Use

While using our Site, we may ask you to provide us with certain information that can be used to contact or identify you. This personal data will include your name, address, email address and phone number. 

Legitimate Interest

In order to enter the Competition, you must include personal data on the Competition entry form. We process this information in ways that are for our legitimate organisational interest: namely identifying winning entries to the Competition and contacting entrants to inform them of any success in the Competition.


We may use your personal data to contact you with newsletters, marketing or promotional materials and other information about our events and projects. This will only be done where you have given express permission to us by entering your email address into a sign-up form or ticking the relevant boxes on the Competition entry form.


Your information will be stored until May 2019 for the purposes of contacting you about your Competition entry. After this point, it will be deleted from our records, unless you have explicitly stated for us to do otherwise.


We will ensure that appropriate safeguards are in place to keep your personal information as secure as possible, both in terms of our procedures and the technology used. All data is stored on password-protected servers, and hard-copy information is kept in locked storage with access restricted to our staff.  The University will not share personal data with third parties, except where required to by law, unless the third party is acting as an agent for the University on the instruction of the University (e.g. third party mailing house to send printed materials).

Changes To This Privacy Policy

This Privacy Policy is effective as of 10/01/2019 and will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being posted on this page.

We reserve the right to update or change our Privacy Policy at any time and you should check this Privacy Policy periodically. Your continued use of the Service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgment of the modifications and your consent to abide and be bound by the modified Privacy Policy.

If we make any material changes to this Privacy Policy, we will notify you either through the email address you have provided us, or by placing a prominent notice on our website.
