Travel and accommodation

Attendees who are not local to Newcastle can request accommodation and travel to be booked by the PARTNERS team.

If you're eligible, more information, along with the booking request form will be sent to you in an email within one week of making Newcastle your firm choice.

The deadline to apply is Wednesday 17 June.

Students with a home address at the following postcodes are not eligible for accommodation during PASS.

You will be able to claim reimbursement for any travel costs onto campus.

Registering on campus

No matter how you arrive to campus, PASS student reps will be waiting to welcome and direct you to registration. 

Registration days are Sunday 28 June or Wednesday 1 July depending on your subject strand.

  • local students should register between 10:00 - 12:00 for a compulsory induction session starting at 12 Noon
  • non-local students should register between 13:00 - 16:00 for a compulsory induction session at 16:30
  • if you can't make one registration and induction slot, just attend the other.

All students register on Sunday 28 June or Wednesday 1 July regardless of whether local or not.

FAQs

How do I get reimbursed for travel?

If you’re local to Newcastle, we’ll cover your travel for each day you need to attend compulsory on-campus activities.

Reimbursement is based on the most reasonable method of travel (usually public transport; taxis/Uber are not included).

To claim, you’ll need to complete an online Travel Reimbursement Claim Form during PASS. This will be available via a link in the PASS Hub on Canvas from 28th June. 

If travelling by car, we can only reimburse mileage and not parking costs. 

Can I park on campus?

There is no parking available on campus for students during PASS.

If you may require parking for accessibility or disability reasons, please contact the PASS team as soon as possible via academicsummerschool@ncl.ac.uk so that we can assist you with these arrangements. 

Can I stay in accommodation if I am a local student?

Unfortunately due to limited availability we can only offer accommodation to students who are not local to Newcastle or the surrounding area

Experiencing delays or cancellations en route to Newcastle?

If you need support during your journey, please speak to train station staff or service provider's website. The PARTNERS team aren't able to advise.

You should inform the PARTNERS team that you're running late by calling the PASS helpdesk phone. 

Is food provided?

All attendees receive lunch vouchers to spend on campus during your on campus days.
