Information for Staff
For colleagues working in Faculties or Schools, the information below provides guidance for the various steps in the process of working with external examiners.

Nominations and changes to appointment – Information for Schools
We have been working on an online version of our current Nominations Form and Changes to Appointment Form, now combining both into an External examiner appointment form.
- Online form: External examiner appointment form
- Step-by-step guide: Completing an appointment form in Microsoft Lists
- Checklist: Nomination
- Checklist: Change to appointment
Please read the guidance provided before starting to complete the online version of the form.
Important elements to be aware of:
- Forms need to be completed and submitted in one go (they can’t be saved). We would advise you get all the information required for the nomination or change to appointment ahead of following the step-by-step guidance. Checklists of what is needed for a Nomination or Change to appointment are available.
- We also won’t ask you for signatures and detailed yes/no answers to declare the nomination fits all requirements. Completing the form and submitting will mean you confirm that the nomination is in line with the Policy and you have gained the relevant approvals from the Head of School and Board of Studies prior to submission.
Whilst we want to strongly encourage you to start using the online form, we are also still accepting word document submissions via email until 1 October 2025. After 1 October we will only accept submissions via the online form.
Updated versions for both forms can be consulted below:
- External Examiner - Nomination Form template
- External Examiner - Change to Appointment form template
Nomination and Change to Appointment requests submitted on older versions of the Word document forms will no longer be accepted and you will be asked to complete your request on the new versions of the forms.
For information, we also have guidance on Right to Work Checks (carried out by EPG).
Nominations and Changes to appointment – Information for Deans and PVC
New nomination and change to appointment requests will now be reviewed and approved using Microsoft Lists and automated emails linked to changes in Lists. Our guidance document outlines the new process for consideration and approval of these requests. Please note – whilst we will be accepting the submission of nomination and change to appointment requests by email until 1 October 2025. All requests will be considered and approved in Microsoft Lists.
