We’ve answered some of the most common application questions below to help you understand the process and what to expect.
I was in the queue early, why couldn’t I get in?
When the portal opens at 11:00, we expect a high number of applicants, so a queue will form straight away.
If you’re already waiting before it opens, everyone in the pre-queue is assigned a random position when the portal goes live. This means joining early doesn’t guarantee you’ll be first in line - it’s designed to be a fair system for everyone.
Anyone joining after 11:00 will be placed at the end of the queue.
I joined the queue before my friend, but they got in first – why?
If you and your friend were both waiting before the portal opened, everyone in the pre-queue is randomly assigned a position when it goes live. This means that even if you joined earlier, your friend may be placed ahead of you.
This approach is used to ensure the system is fair for everyone.
If someone joins after the portal has opened, they will be placed at the end of the queue.
How long will I need to wait in the queue?
During peak periods, such as when the portal first opens, we expect a queue to form. How long you wait will depend on how many people are trying to access the portal at the same time.
If the estimated wait time shows “more than one hour”, this means we’re unable to provide a more precise estimate and the wait may be longer than this. The queue will continue to move as users complete their applications.
You don’t need to refresh the page - your place in the queue will be held, and you’ll be automatically redirected when it’s your turn.
How long do I have to access the portal once it’s my turn?
When it’s your turn, you’ll have 10 minutes to leave the queue and access the Accommodation Portal. This time is to allow you to enter the site - it is not a time limit to complete your application.
As long as you access the portal within those 10 minutes, you can take the time you need to complete your application.
If you don’t access the portal within this time, you’ll be removed from the queue and will need to rejoin.
Why do you use Advanced Booking?
We use Advanced Booking so you have more control and certainty over your accommodation. It lets you see what’s available in real time so you can choose from the rooms currently on offer, instead of waiting to be allocated a room later.
The system is designed to be fair, especially when demand is high, with rooms offered on a first-come, first-served basis.
Applying now also means you’ll have one less thing to worry about on Results Day.
Can someone apply on my behalf?
Yes! If you have someone you trust, they can apply for you using your login details.
If you haven’t registered yet, make sure they have your UCAS ID, surname, and date of birth (dd/mm/yyyy), and that they use your email address when registering. That way, all confirmation emails and updates will still come to you.
A few things to keep in mind:
- Once a room is booked, it can’t be changed. Make sure they know which accommodation you’d be happy with and your gender-sharing preference (mixed or single). Don’t limit them to just one option, as it might not be available at the time of booking.
- Avoid logging in from multiple browsers or devices at the same time — this can log you out and lose your progress.
I’m not ready to make Newcastle my firm choice – will there still be accommodation left?
No need to rush! You don’t have to make Newcastle University your firm choice just to apply for accommodation. As long as you meet the Accommodation Guarantee conditions and apply by 12 noon on 24 July 2026, you’ll still be able to secure a room.
The application period stays open for several months, so you have time to consider your options.
All of our accommodation offers a great student living experience. Even if your first-choice residence isn’t available when you apply, there are plenty of other excellent options across our portfolio.
I’ve made Newcastle my firm choice, but your system hasn’t updated yet.
Don’t worry! Our system can take up to 48 hours to reflect your firm choice, so it’s normal if you don’t see the change immediately.
Even more importantly, all of our accommodation options offer a great student living experience. As long as you meet the Accommodation Guarantee criteria and apply by 12 noon on 24 July 2026, there will be plenty of excellent options to choose from across our accommodation portfolio.
There’s plenty of time to apply, so you’ll still be able to find a room that suits you.
How does your room allocation system compare to other universities?
We understand it can be frustrating when universities handle accommodation differently.
At Newcastle, we use a live Advanced Booking system to give students more control. You can see what’s available in real time and choose a room that suits you. That way, if your first choice isn’t available, you’ll still find accommodation that works best for you.
Many students have told us they find this approach really helpful, especially when demand is high.
How can I ensure I get my first choice accommodation?
We understand many students have a particular accommodation in mind. However, some residences are very popular and can fill up quickly, so it isn’t possible to guarantee a specific residence or room type.
To keep the process as fair as possible, we use our Advanced Booking system, which allows you to log in and reserve your own room. This means you can choose from the options available at the time you apply.
Before applying, we recommend researching your accommodation options carefully and having a few alternatives in mind. If your first choice isn’t available when you log in, you’ll still be able to choose from other options that you already know will suit you.
All of our accommodation offers a great student experience, so even if your preferred option is unavailable, there will still be plenty of other great places to live available.
What if my preferred room isn’t available?
We guarantee accommodation to all eligible applicants. We can’t guarantee a specific residence or room type.
All of our residences meet high standards, so if your first choice isn’t available there are plenty of other options where you’ll feel at home.
Many students find they have a great experience in our accommodation because of the people and community around them – rather than where they’re based.
Because our allocation process is designed to be fair and transparent, we’re unable to change your allocation However, your guaranteed place is secure.
The room I wanted was there and now it’s gone – what happened?
If a room type is no longer showing, it’s because it’s already been fully booked.
Some rooms are in high demand, so even if your preferred option appeared available earlier, others may have secured it before you. Don’t worry - there are still plenty of excellent options across our accommodation, and every room meets the same high standards.
I want a studio – why aren’t these available on Advanced Booking?
Studios aren’t listed in Advanced Booking at first because we have a limited number. To make sure they go to students who really need them, priority is given to those with a disability or health condition, even for standard (non-accessible) studios.
Some studios may become available later, and you’re welcome to email us to express your interest. In the meantime, we recommend reserving a non-studio room so you don’t miss out on securing a guaranteed place.
What will you do with bookings that get cancelled? Can I be added to a list for any vacancies?
We allocate all rooms according to our Allocations Policy, and unfortunately we don’t operate a waiting list for cancelled bookings. It would be difficult to manage fairly, and we couldn’t guarantee an equal chance for everyone.
We understand this might be disappointing, but our system is designed to give one guaranteed allocation per student, so we can accommodate as many students as possible fairly.
I accidentally selected the wrong room – can I change it?
Once you’ve reserved a room, it can’t be changed .
However, you’re welcome to check out our Facebook group, where students often arrange room swaps. Moves aren’t always possible, so we encourage you to take a closer look at the building and area you’ve reserved; all of our accommodation is high quality, and each option offers a great student living experience.
I’ve reserved a room without speaking to my parents, and they’ve since told me it’s out of budget. What should I do?
We understand and we don’t want anyone to feel under financial pressure. Once a room is reserved, it cannot be changed through the system.
However, you can post on our accommodation Facebook group now, where students often arrange swaps. In some cases, if there is still availability in our more affordable option, Manor Bank, we may be able to help facilitate a swap, please contact us.
I’ve reserved a room in a managed partner and didn’t know I needed a guarantor, which I can’t provide. What should I do?
We try to make the guarantor requirement clear in our guidance, but it’s understandable that it can sometimes be missed in the excitement of booking a room.
Some managed partners require a UK-based guarantor as part of their contract. If you don’t have one, there are commercial guarantor services available - for example, Housing Hand and Rent Guarantor. We don’t endorse any specific provider, so you’ll need to check whether a service is suitable for your circumstances and budget.
If this isn’t a viable option, you may be able to arrange a room swap via our accommodation Facebook group, where students often coordinate swaps before move-in.
When will I find out my flat and room number?
Your exact flat and room number will be included in your accommodation contract. You’ll receive this on or after A Level Results Day, once your place at Newcastle is confirmed.
Even if you already have an Unconditional Firm offer, we wait until after Results Day to send contracts. This helps us manage room allocations smoothly for everyone and ensures the process is fair.
What if I reserve a room, but don’t get the grades to come to Newcastle?
We completely understand how stressful it can be waiting for results and we’re wishing you the best of luck.
If you don’t meet the conditions of your offer, don’t worry. Your room reservation will be cancelled automatically, without any financial penalty.
Should I reserve a room if I’m planning on deferring my studies?
Yes - we recommend reserving a room. A deferral isn’t guaranteed, and if you haven’t booked by 12 noon on Friday 24 July 2026, you won’t be guaranteed accommodation.
If your deferral is approved by Admissions, you can cancel your reservation without any financial penalty. Just let us know as soon as you have the outcome so we can release the room for another student.
I’m applying as a mature student - can I still have an undergraduate contract length if I reserve postgraduate accommodation?
Yes, you’ll still receive an undergraduate contract length (typically 40 weeks), even if you're living in postgraduate accommodation.
We’ve found that students aged 25 and over often prefer the environment of postgraduate residences, which is why we make this accommodation available to mature undergraduates.
I need a specific room due to a disability, can I use the advanced booking option?
If you require adaptations to your bedroom due to a disability or health need, you’ll use the 'submit an application' route instead of the Advanced Booking option. This ensures that your allocation will be considered by our experienced team, who will work with you to find a suitable room that meets your individual needs.
If you have a disability or health need but do not require adapted accommodation, please use Advanced Booking as usual. After reserving your room, please inform us of any adjustments you need, and we’ll work with you to organise them.

I need a studio because of my disability, but I don’t need an accessible one. Why can’t I see studios on Advanced Booking?
We don’t list studios in the Advanced Booking system because we have a limited number available. To make sure they go to students who really need them, we give priority to those with a disability or health condition - even for standard (non-accessible) studios.
If you need a studio due to a disability, please follow the steps for applying for accessible accommodation. This will allow you to choose that option during your application.
Once you’ve applied, use your Disability and Health Information Form to explain that you need a standard studio.

Can I bring an emotional support animal?
No, emotional support/therapy animals are not allowed in accommodation. This helps protect the health and wellbeing of other students.
However, we do allow assistance dogs. Please see our Assistance Dog Policy for more information.
I need a specific room due to a disability or health condition, and it’s not there – what should I do?
We may be able to help, but only where there is a clear need, not just a preference. We’ll always do our best to support you, but the actions we can take depend on your individual requirements, any supporting information you provide, and room availability.

I’ve reserved a room through Advanced Booking but need an accessible room – what should I do?
If you have a disability or health condition that requires room adaptations (for example, an accessible shower or space for medical equipment), please let us know straight away.
The Advanced Booking system doesn’t allocate accessible rooms automatically, so we’ll need to work with you directly to find a room that meets your needs. The sooner we hear from you, the better we can support you.
I’ve reserved a room, but I need an adjustment in my room – what should I do?
If you need a minor adjustment - for example, a fridge, or a lower-floor room in the building you’ve reserved - you can let us know by completing the Disability and Health Information Form and uploading any supporting information.
Our team will review your request and get back to you about what adjustments are possible. While we can’t guarantee every request, we’ll always do our best to accommodate your needs.
What's the difference between Advanced Booking and submitting an application?
Advanced Booking is exclusively available to full-year, single undergraduate applicants. It allows eligible students to reserve a room immediately, depending on availability.
Submitting an application, on the other hand, is for postgraduate students, couples, and families. This route involves selecting your preferred accommodation options, after which we assign a room based on availability and preferences.
How do I apply for couple or family accommodation?
Couples and families can apply for accommodation using the submit an application route.
You can apply as soon as Newcastle is your firm choice, but please note that your application won’t be processed until your status is Unconditional Firm.
We recommend submitting your application as early as possible, as applications are processed in the order they are received starting from July onwards.
If you’re applying as a couple where both adults are Newcastle students, only one of you needs to submit the application. Please note that couple accommodation is available only to spouses or cohabiting partners - not to friends or siblings.
While accommodation is not guaranteed under our Accommodation Guarantee for these groups, we will do our best to offer suitable options based on availability and preferences.
Can I apply for accommodation as a Postgraduate Research (PGR) student?
Yes, PGR students can apply for accommodation via the Accommodation Portal once it opens.
Please note that accommodation is not guaranteed for PGR students, but we encourage you to apply. Applications are assigned a random allocation number and are processed in that order once your status is ‘Unconditional Firm’.
We begin by processing applications from postgraduate students who are guaranteed accommodation in July. After these are completed, we move on to applications from non-guaranteed students, including PGR applicants.
Offers will be communicated as allocations are made.
I’ve submitted an application, can I change my preferences?
If you change your mind about your preferences after submitting your application, just log in to your Accommodation Portal to update your application. You’re able to do this up until Tuesday 30 June 2026.
How do I apply for accommodation as a part‑year exchange student?
We’re currently securing accommodation options for part‑year students.
We don’t have an exact date for when applications for this will open, but are working closely with colleagues in Global Opportunities and Study Abroad to make sure you get all the information you need.
Keep checking your email and the Accommodation website for further details.
What if the portal thinks I am a full-year student by mistake?
If the system mistakes you for a full‑year applicant, do not complete your application. Contact us. We will update your record so you can apply for the correct part‑year accommodation.
Submitting an incorrect application could result in you missing out when part‑year rooms become available.
Am I guaranteed a room as a part-year student?
Accommodation for part-year students is not guaranteed. However, as we are making specific arrangements for part-year applicants, we aim to support you where possible or help you find suitable alternatives.
If it looks like we might not be able to offer a room, we’ll contact you as soon as possible. We’ll also check with other accommodation providers in Newcastle to see what’s available and share any options with you.
