Understanding the process
14.08.2023 - We are no longer accepting late applications for Postgraduate accommodation. There are many student accommodation options in Newcastle. You can find these by searching on the internet. We recommend that you do not arrive in Newcastle without first having secured accommodation.
Applying for student accommodation with us is straightforward. Check out our handy step-by-step guide below.
We do not assign rooms based on the date you apply, so there is no rush to complete your application. Just remember to submit your application by 31st July to be covered by our New Student Guarantee.
Book now
Book Now is a service that allows eligible students who have an academic status of ‘Unconditional Firm’ at the time of applying, the opportunity to reserve their room immediately.
Book Now has now closed. All applicants that utilised Book Now to reserve their room early should have received and signed their accommodation contract. If you believe you have reserved a room but have not yet received your contract, please contact us.
If you did not use Book Now, but still wish to apply for accommodation, you can submit an application as outlined below. We will contact you after A-Levels Results Day with your room offer. Remember to apply by the 31 July to be covered by the New Student Guarantee.
Submit an application
If your place to study at Newcastle is dependent on receiving exam results, or meeting other conditions (I.e. your academic offer is conditional), or you do not meet the New Student Guarantee, you’ll be asked to submit an application. To apply, follow these steps:
If you are joining Newcastle University for part of the academic year you can still apply for accommodation using our online system. You won’t be covered by our new student guarantee, however we will do our best to offer you a room. The Allocations Team will only be able to process your application once all full-year students have been successfully allocated. If we are able to offer you a room, we would expect to send you details of your allocated accommodation via email from 31 August onwards. To find out more, see our Information for part year students
If you have a medical condition that needs to be considered when we allocate your room, please let us know when you apply for accommodation. This includes any disabilities, ongoing medical conditions, or special needs that we should be aware of. We have specially adapted rooms and rooms available for carers.
To let us know about a medical requirement, complete a Medical Evidence Form. The form includes questions to help us understand your medical needs and what type of accommodation would be best for you.
After submitting your application, you’ll hear from us in August. Due to the high number of applications we receive, you’ll have limited time to accept or reject an offer of accommodation with us. For University-owned residences, you’ll have three days, and for partner accommodation you’ll have five days. If you choose to reject your accommodation, please be aware that we aren’t able to offer you another room. Room swaps with other students may be possible, so if you are disappointed with your offer, this may be something you'd like to consider.
There might be a simple fix if you are having trouble creating a profile. Here are a few common reasons:
- you received your academic offer less than 48 hours ago. It may take time for your records to be updated in our system.
- your UCAS number or university reference number contains hyphens that are not required.
- you may already have an account.
Whilst we try to offer you one of chosen accommodation, this is not always possible. To help us find you a suitable room, we ask you to provide alternative preferences. These are broader accommodation characteristics that you will rank from most to least important.
For undergraduate students, you have four options:
- Lower priced room for financial reasons. This means that we will match you to the most affordable option available at the time of processing your application.
- A Castle Leazes catered washbasin room - exactly as it sounds. We will attempt to allocate you to a catered washbasin room.
- Any University-owned room not already selected including those based off campus. We will attempt to match you to any available University-owned accommodation (rather than a managed partnership).
- Any en suite room in purpose-built student accommodation which may require a UK guarantor. This means that we will attempt to offer you a room within a managed partnership. This type of accommodation may require an upfront payment, and a guarantor. We recommend you place this last if you are not able to provide these.
For postgraduate students, you have three options:
- low budget: we will match you to the most affordable option available at the time of processing your application
- city location: we will attempt to offer something closer to campus
- wash facility - we will try to allocate you a room with the wash type as you have chosen within your three preferences
Due to demand of certain room types and locations, there may be instances where we need to offer you a room based on your last alternative preference.
If you are eligible to use Book Now, you will be able to choose and secure your accommodation immediately. You can pick the location, wash type and catering type of the accommodation. Book Now will be available to students who have an academic status of ‘Unconditional Firm’. This would be at the time of applying and meet all the other conditions of the accommodation guarantee.
We're unable to offer Book Now to students who need adjustments/adaptations to their bedroom. You will require a specialist allocation process to identify a suitable room.
Managed partnership accommodation is not available to ‘Book Now’. Only a percentage of each University-owned room type will be available for Book Now. This means, at the time of booking, the accommodation you prefer might not be available.
If you don't want to choose an alternative room, you can submit an application. This will be processed after A-level results day (17 August) for undergraduates, or 1 August for postgraduates.
Yes, we will ensure that every student that is covered by the guarantee will have a bedroom. A percentage of rooms in each residence will be reserved for students that are unable to book now.
