Printing Frequently Asked Questions

What File formats do you accept?

We are able to accept the following formats:

  • Print-Ready PDF (preferred)
  • EPS
  • High-resolution JPG or TIFF
  • Any Microsoft Office document

How can I pay for my work?

Payments may be made in cash, cheque or by credit/debit card. We are able to accept card payments over the telephone.

Printing can be charged to a university account by Internal Purchase Requisition form - please note, we are only able to release work once we have an original, signed internal purchase requisition form.

We are also able to take payment from NHS accounts using NHS purchase orders (NHS customers should contact their supplies department for specific information on the correct procedure for this).

How quickly are you able to print my work?

Our standard turnaround times are as follows:

  • Black & White: 3 working days
  • Colour: 5 working days

We can often produce work within these times - if you require your work to be printed more quickly, please feel free to ask.

Can you deliver?

We are able to deliver internal work to all University addresses both on and off campus. If you would like us to deliver to a non-university address, please feel free to ask. Please note, payment must be made in full prior to delivery.

What types of binding do you offer?

Do you offer a scanning service?

If you do not have your work as a digital file, we are able scan your document for you. We are only able to scan documents which are unbound and free from staples or paper clips and can only able to offer scanning as part of our printing service.

Do you print Business cards or corporate stationery?

All Newcastle University corporate stationery should be ordered online through the official supplier, Alphagraphics. We are able to print non-university business cards on card up to 300gsm in weight but the laser-printing process we use is not generally suitable for letterheads or compliments slips.

Do you print photographs?

In the print room we use a laser-printing process which is unlike the method used to produce photographs. We would be happy to print your pictures onto heavy-weight gloss paper but we do not use a photographic process.

What is your policy on sustainability?

Do you offer a framing service?

We are not currently able to offer framing as part of our service.

Can you supply me with the University logo?

We cannot supply the logo to customers directly, please see here for information regarding Newcastle University's corporate visual identity.

Do you have any photos of the University campus?

For photos of the University, we recommend that you use the Newcastle University Photo Library.

Can you burn my files to CD?

Print Services does not offer a CD burning service but many of the PCs throughout campus are able to write files to CD.

Will I be charged VAT on printing?

Although printing for internal customers is not subject to VAT, any external work will be. The rules regarding VAT on printing are quite complex and we recommend you refer to HM Revenue & Customs site for a comprehensive guide.

Do you have a minimum print run?

We do not have a minimum print run but we do have a minimum charge of £4 per job.

Do you print proofs?

We will produce proof copies for all colour jobs over £30 in value and for all complex black and white jobs. Proofs are created in order to ensure that the work is being reproduced as intended and must be signed off before we are able to proceed with a print run.

We reserve the right to charge for printing multiple proofs or for producing proofs from large documents.

What type of paper will my work be printed onto?

As standard, we use 80gsm paper for black and white printing and 100gsm for colour but other papers are available upon request.

We have a range of coated and uncoated paper types in stock. We currently carry paper from 120 - 300gsm in weight in either silk, gloss or matt finishes. We also stock a range of colours in both 80 and 160gsm weights.

You are more than welcome to visit us to discuss your requirements and to see samples of the paper we have in stock.

Can I book some time in for printing?

Unfortunately not. We carry out work as it is submitted to us and cannot accept bookings for printing.

Do you offer a design service?

We are unable to offer a design service. The University's Marketing and Communications Directorate offer a list of approved external designers as well as guidance on corporate branding.
